How to update customer email addresses and manage reminder recipients

Satago allows you to easily update customer contact details and control which contacts receive automated reminders and statements. This guide explains when and how to amend customer email addresses, and how to manage reminder recipients for specific customers.


When might you need to update customer contact details?

You may need to amend customer email addresses or contact preferences in situations such as:

  • A customer has changed their primary contact or email address.

  • You want to ensure reminders and statements are sent to a different contact within the customer’s organisation.

  • A customer requests that reminders or statements are sent to multiple recipients, or to none at all.

  • You need to remove an outdated or incorrect email address from a customer’s record.

  • You want to set escalation contacts for overdue reminders.


How to update a customer’s email address or contact details

You must amend your clients contact details directly in your accounting software for data consistency. The following steps are only to edit the contacts that were added to the Satago platform manually.


  1. Navigate to Customers

    • On the left-hand menu, click on Accounts > Customers.

  2. Search for the Customer

    • Use the search bar to find the individual customer whose details you wish to update.

  1. Edit Contact Details

    • Click on Contact and Address.

    • Next to the contact you want to amend, click Edit.

    • Update the contact details as needed.

Under Contact Type, select whether the contact should be the Primary, Escalation (secondary), or None.

  • Primary: Main recipient for reminders and statements.

  • Escalation: Secondary recipient, typically for overdue reminders.

  • None: This contact will not receive any reminders or statements.

Managing Reminder Recipients

If a customer has multiple contacts and you do not want reminders or statements sent to certain individuals, set their Contact Type to None. You can choose which contacts receive reminders and statements by selecting the appropriate contact type for each.
